Flex will detect if duplicate Leads have been entered into the Leads page. It will look for matching email addresses, names or contact numbers. This guide explains how to identify and merge duplicate unconverted leads. Merging duplicate leads helps keep your data accurate, removes redundancy, and improves the quality of information available to your sales team.
Using the duplicate lead merge process, you can:
- Detect duplicate leads based on defined criteria (currently Email ID).
- Review duplicate leads side by side.
- Choose which field values to keep when there are conflicts.
- Retain notes and comments from all duplicate leads.
- Transfer related activities, tasks, notes, and files to a single lead.
- Automatically archive duplicate leads after the merge.
- Record the merge action in the lead’s revision history.
- Open a lead record. If the system detects possible duplicates, you will see the icon
- Select the duplicate lead icon
- A modal window opens showing a list of potentially duplicated leads.
- In the duplicate leads list, select two or more leads you want to merge.
- Select Merge.
- A new modal opens displaying a side‑by‑side comparison of the selected leads.
- Review the compared lead details.
- For each conflicting field, select the value you want to keep in the final merged lead.
The system designates one lead as the Master Record:
- The Master Record is clearly labelled in the comparison view.
- All values from the Master Record are pre‑selected by default.
- You can override any value by selecting a different lead’s data.
After the merge is complete, the system logs the action in the Master Record’s revision history, including:
- Date and time of the merge
- User who performed the merge
- IDs of the merged (archived) leads
This provides a clear audit trail for future reference.
